The Operational Assistant enhances the effectiveness of providing Therapy Services, Audiology and Wound Ostomy support by providing patient, provider, staff, departmental, information management and administrative support.  
The Operational Assistant provides front office reception; patient, provider and program schedules; handles mail; establishes maintains and updates office files and electronic medical records and orders supplies. He/she organizes cleans and maintains the front office and reception area and ensures the front desk and phones are attended to at all times. The Operational Assistant prepares information or correspondence in final form; maintains and updates departmental and program records, provides billing and insurance authorization support, gathers data and prepares a variety of recurring reports. The Operational Assistant assists with workflow development or changes for the efficient and effective operation of the department.

  • Completion of high school level course work.

  • Two or three years of related office experience preferred in order to become proficient in clerical skills, to acquire a thorough knowledge of effective and efficient office systems, to develop suitable interpersonal skills, and to gain a thorough understanding of Hospital policies and procedures.

  • The organizational skill to maintain orderly and efficient office systems for a department or unit and to schedule and coordinate a variety of activities simultaneously.
  • \t
  • Excellent verbal communication, nonverbal communication and listening skills to effectively communicate with patients, visitors, therapists and Hospital personnel at all levels in a customer service orientation.
  • \t
  • Analytical ability to evaluate and interpret data for the preparation of reports.
  • \t
  • Clerical ability to operate a variety of office machines, type with proficiency, operate computers related to word processing, spreadsheet and database collection.

  • Knowledge in medical terminology and math calculations.

  • Must be able to multitask very well, prioritize multiple demands from many people throughout the day and be able to work with frequent interruptions.

  • Must demonstrate self-assessment, initiative and the ability to work collaboratively on a team in a fast paced environment.
  • \t
  • Must demonstrate flexibility and the ability to accept change.
